RESOLUTION NO. 9695
BEING A RESOLUTION OF THE CITY COUNCIL
OF THE CITY OF CAMPBELL
RENEWING THE CONTRACT FOR
THEATER CONSULTING
AT THE CAMPBELL COMMUNITY CENTER
WHEREAS, the City Council of the City of Campbell has successfully completed the
first agreement for the provision of management services and project consultation for the
Heritage Theatre Restoration Project, to which specific reference is hereby made for a
description of the work and;
WHEREAS, the City Council of the City of Campbell wishes to renew this contract for
services for an additional three years as stipulated in the original contract agreement;
NOW, THEREFORE, BE IT RESOLVED by the City Council of the City of
Campbell that said Council hereby renews the contract for doing the work, furnishing the
materials and supplies necessary to VENUE TECH Management Group and that the Mayor of
said City is hereby authorized to make and enter into a written agreement with the said
contractor, and the City Clerk of said City is hereby directed to attest her signature and affix
thereto the appropriate seal of said City.

PROJECT: Heritage Theatre Restoration
Scope of Work
(Updated June 27, 2000)
General Description: VenueTech Management Group, LLC works under contract with
the City of Campbell on the restoration of the Heritage Theatre. Through this contract,
VenueTech works with both the City and The Friends of the Heritage Theatre, a non-
profit organization. The primary focus of Venue Tech's work is to coordinate the efforts
of the non-profit organization and provide consultation to the City and the non-profit
board of directors with regards to the restoration effort. Work is directed at the raising of
capital funds to restore the Theatre as well as advice regarding theatre design and
operation.
To accomplish these goals, VTECH will provide the following:
1) Coordinate efforts of Friends of the Heritage Theatre, a 501 (c) 3, non-profit
organization dedicated to restoring the Theatre.
2) Provide consultation to the City of Campbell staff and the architects working
on the restoration project regarding theatre design, programming
requirements, practical venue functionality and other theatre related issues
identified by the City.
3) Design and implement a strategy for board and volunteer development
including work with a newly formed Capital Campaign Committee, expansion
of the board of directors and the addition of an advisory committee.
4) Facilitate the board of director's efforts to implement the fund development
program including:
a. An annual Advocates Alliance campaign. VTECH will provide all
organizational material, record keeping and follow up for the campaign.
b. A capital campaign. VTECH will train campaign volunteers, assist
committee members with contacts, accompany committee members if
necessary, keep accurate records and follow up with donors.
c. A grants program. VTECH will prepare grant and foundation funding
requests on behalf of the City of Campbell and the Friends of the Heritage
Theatre, make presentations as necessary to funding entities, and follow
up with necessary paperwork as required by the funding agency.
d. An official launch of the Capital Campaign in September 2000.
e. A seat-naming program in 2001.
5) Hire, train and supervise all personnel assigned to the project. VenueTech is
responsible for all compensation, unemployment insurance, workers
compensation insurance and other personnel related expenses.
6) Develop an annual work plan including a master time line and evaluation
criteria. VenueTech shall meet at regularly scheduled times with city
representatives to review the progress of the project and reassess the work
plan and project requirements.

7) Develop all required promotional and marketing materials including graphics,
letterhead, brochures, fact sheets, newsletters and other required support
materials.
8) Negotiate primary client relationships. VenueTech will work with the City to
negotiate working agreements with key project partners. At this time, this
includes both local school districts and one (1) to three (3) regional non-profit
cultural organizations.
9) Set up operations for the theatre by booking performances and events, setting
up box office and concession operations, hiring technical and administrative
staff.
10) Plan an inaugural event for the Theatre's Grand Opening.
